Job Responsibilities

The Office & Executive Administrator will serve as an integral member of the Executive team with responsibilities including, but not limited to, the following:

 

Executive & Administrative Support

  • Provide comprehensive administrative support to four Vice Presidents, handling sensitive and confidential matters with discretion and sound judgment
  • Arrange travel, including accommodations, itineraries, and expense reconciliation; administer travel and expense systems
  • Coordinate and support onsite and off‑site meetings, including scheduling, room reservations, materials preparation, and catering
  • Attend select meetings as requested to capture notes, record minutes, track action items, and follow up on deliverables
  • Manage comprehensive calendar, scheduling, and communications support including managing meeting requests, resolving conflicts, handling RSVPs, and prioritizing executive time, while also serving as the primary front‑desk contact during business hours
  • Serve as a liaison between Vice Presidents, internal teams, senior leaders, external partners, and other executive assistants
  • Assume responsibility for special projects and additional duties as assigned
  • Provide after‑hours support as needed to meet executive and business demands

 

Office Operations

  • Oversee daily office operations to ensure a professional, efficient, and secure workplace
  • Manage relationships with building management, maintenance staff, vendors, and suppliers; negotiate contracts and service agreements for office equipment and services
  • Coordinate office maintenance, security protocols, and compliance requirements, including fire warden assignments and annual certifications
  • Provide front office support, including mail, deliveries, and phone coverage
  • Welcome and assist guests, visitors, and meeting participants in person, by phone, or virtually
  • Cranberry Office Seating & Workspace Governance
    • Own and govern all seating and workspace assignments for Pittsburgh and Cranberry
    • Maintain the official, up‑to‑date seating plan and serve as the single source of truth
    • Ensure all seating changes are standardized, communicated, and visible to executives
    • Partner with leadership on space utilization and enterprise seating decisions
    • Coordinate seating moves for hires, role changes, and organizational updates
  • Comply with Seneca’s EHSQ policies, standards and procedures and demonstrate active and regular involvement in EHSQ programs

Job Qualifications

  • Bachelor’s degree preferred (or equivalent combination of education and experience)
  • 5+ years of progressive experience supporting senior or executive‑level leaders in a corporate environment
  • Experience with office or facilities administration strongly preferred
  • Notary Public designation required or willingness to obtain
  • Exceptional organizational, time‑management, and prioritization skills with strong attention to detail
  • Proven ability to maintain confidentiality and exercise sound judgment with sensitive information
  • Strong written and verbal communication skills with the ability to interact effectively at all levels of the organization and with external partners
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; experience with electronic travel and expense systems (e.g., Concur) preferred
  • Strong business acumen with the ability to anticipate needs, think proactively, and adapt to changing priorities
  • Flexibility to adjust work hours and responsibilities based on executive and business requirements

 

 The successful candidate must be authorized to work in United States of America.
